Setting Up Your Services Catalog and Materials

Your services catalog and materials list are the backbone of everything you quote and invoice in Lawnager. When these are set up correctly, creating a quote takes seconds — you just pick from your list instead of typing everything from scratch every time.

This article walks you through setting up both.


Why This Matters

  • Quotes and jobs pull directly from your catalog, keeping your pricing consistent
  • The AI Estimator uses your services and materials to build accurate quotes
  • A complete materials list means the Materials Calculator in quotes can do the math for you
  • Clean catalog data leads to cleaner invoices and reports

Setting Up Your Services Catalog

Your services catalog is where you define every type of work your business offers — mowing, aeration, hedge trimming, cleanups, etc.

  1. Go to Settings → Services Catalog.
  2. Click Add Service.
  3. Fill in the service details:
    • Service Name — Use a name your customers will recognize (e.g., "Lawn Mowing" not "LM-01")
    • Description — Optional, but this text can appear on quotes and invoices
    • Pricing Type — Choose Flat Rate, Per Square Foot, or Hourly
    • Default Price — Set your baseline rate; you can always override this on individual quotes
    • Category — Group similar services together (e.g., Maintenance, Seasonal, Landscaping)
  4. Click Save Service.
  5. Repeat for each service you offer.

Tip: Add all the services you offer even if you rarely use them. It only takes a moment and means you'll never have to type a one-off service name into a quote again.

Common pitfall: Leaving the description blank. When a quote is sent to a customer, a clear description helps them understand exactly what they're paying for — and reduces back-and-forth questions.


Editing or Deactivating a Service

If your pricing changes or you stop offering a service:

  1. Go to Settings → Services Catalog.
  2. Find the service and click Edit.
  3. Update the pricing or description, then click Save.
  4. To remove a service from future quotes without deleting its history, toggle it to Inactive. Inactive services won't appear in quote or job dropdowns but are preserved in past records.

Setting Up Your Materials List

Materials are the supplies and products you use to complete jobs — fertilizer, mulch, seed, herbicide, etc. Adding them here powers the Materials Calculator inside the Quotes tool.

  1. Go to Settings → Materials.
  2. Click Add Material.
  3. Fill in the details:
    • Material Name — Be specific (e.g., "Triple Mix Mulch" instead of just "Mulch")
    • Unit — How you measure it (e.g., bag, cubic yard, gallon, lb)
    • Cost Per Unit — Your actual cost, not what you charge the customer
    • Markup % — Lawnager will automatically calculate the customer-facing price using this markup
  4. Click Save Material.
  5. Repeat for each material you regularly use.

Tip: Keep your cost per unit updated when supplier prices change. Outdated costs mean your quotes may not cover what you're actually spending.


Using Your Catalog in Quotes and Jobs

Once your catalog is set up:

  • When creating a Quote, click Add Service or Add Material to pull from your saved lists — no manual typing required
  • The AI Estimator references your catalog to suggest pricing that fits your business
  • When creating a Job, assign services from the same catalog so crew members see exactly what's expected

Quick Tips

  • Start simple. You don't need 50 services on day one. Add your top 10 most common jobs and build from there.
  • Use clear names. Your crew sees service names in the field app — make sure they're recognizable.
  • Review your catalog seasonally. Update prices each year before your busy season starts so your quotes stay profitable.
