Syncing Lawnager with QuickBooks

Connect QuickBooks to Lawnager to automatically sync invoices, payments, and customer records.

Syncing Lawnager with QuickBooks

If you use QuickBooks to manage your books, Lawnager's QuickBooks integration saves you hours of manual data entry. Once connected, your invoices, payments, and customer records flow directly into QuickBooks — no copy-pasting required.

What Syncs with QuickBooks

  • Invoices — auto-generated invoices from completed jobs sync as QuickBooks invoices
  • Payments — payments recorded in Lawnager (Stripe, cash, check, Venmo) sync as payments against those invoices
  • Customers — new Lawnager customers are created as QuickBooks customers automatically

Note: The sync is one-way — Lawnager pushes data to QuickBooks. Changes made directly in QuickBooks will not update Lawnager.

Before You Connect

Make sure you have:

  • An active QuickBooks Online account (QuickBooks Desktop is not supported)
  • Admin access in both Lawnager and QuickBooks
  • Your Lawnager plan is Growth or Pro — QuickBooks integration is not available on the Starter (free) plan

How to Connect QuickBooks

  1. Go to Settings → Integrations.
  2. Find the QuickBooks card and click Connect.
  3. You'll be redirected to the QuickBooks sign-in page. Log in with your QuickBooks Online credentials.
  4. Review the permissions Lawnager is requesting and click Authorize.
  5. You'll be sent back to Lawnager. You should see the QuickBooks card update to show Connected with a green indicator.

That's it — the integration is live.

How the Sync Works

Invoices and payments sync automatically. Here's the timeline:

  • When a job is marked Complete, Lawnager auto-generates an invoice. That invoice syncs to QuickBooks within a few minutes.
  • When a payment is recorded against that invoice in Lawnager, the payment syncs to QuickBooks shortly after.
  • New customers are created in QuickBooks the first time an invoice is synced for them.

You don't need to manually trigger the sync — it runs in the background.

Checking Sync Status

If you want to confirm a specific invoice made it to QuickBooks:

  1. Go to Invoices and open the invoice you want to check.
  2. Look for the QuickBooks badge near the invoice status. A checkmark means it synced successfully.
  3. If you see a warning icon, the sync encountered an issue — see the troubleshooting section below.

Troubleshooting Sync Issues

Invoice didn't sync

  • Make sure the customer's name and email in Lawnager exactly match (or don't conflict with) an existing customer in QuickBooks. Duplicate or mismatched records can cause errors.
  • Check that your QuickBooks session hasn't expired. Go to Settings → Integrations and confirm the connection still shows Connected. If it shows Reconnect, click it and log back in.

Payment didn't sync

  • Payments only sync after the parent invoice has synced. If the invoice had a sync error, resolve that first.
  • Venmo payments recorded manually in Lawnager will sync as a generic payment — make sure your QuickBooks chart of accounts has a matching payment method if you need that level of detail.

Customer created as a duplicate in QuickBooks

  • This usually happens if the same customer exists in QuickBooks under a slightly different name. You can merge duplicates directly in QuickBooks after the fact.

Disconnecting QuickBooks

If you need to disconnect the integration:

  1. Go to Settings → Integrations.
  2. Click Disconnect on the QuickBooks card.
  3. Confirm the disconnection.

Disconnecting stops future syncs but does not delete any data already in QuickBooks.

Tips

  • Set up your services catalog first. Well-named services in Lawnager become line items on your QuickBooks invoices, making your books cleaner.
  • Don't record the same payment twice. If a customer pays through the Lawnager client portal, that payment will sync automatically. Avoid manually recording it in QuickBooks too.
  • Run a test by completing a job for a new customer and checking QuickBooks 5–10 minutes later to confirm the sync is working before you rely on it for your whole client list.
