Team Permissions & Access Control
Not everyone on your team needs access to everything. A crew member in the field doesn't need to see your financials — and you probably don't want them to. Lawnager's permissions system lets you control exactly what each team member can view and do, so your business data stays secure and your crew stays focused.
Why Permissions Matter
Without proper access control, any team member with app access could accidentally (or intentionally) view sensitive information like revenue reports, customer payment details, or invoice history. Setting permissions protects your business and keeps the experience clean for your crew.
Where to Find Team Permissions
Go to Settings → Team Permissions. This is where you manage roles and individual access levels for everyone on your team.
Understanding Roles
Lawnager uses role-based permissions. Each team member is assigned a role, and that role determines what they can access. The available roles are:
- •Owner — Full access to everything, including billing and account settings. Only you should have this role.
- •Manager — Can manage jobs, crews, quotes, invoices, and view reports. Cannot access billing or subscription settings.
- •Crew Member — Limited to the Crew Field App: check-ins, checklists, job photos, and GPS. Cannot access the main dashboard, financials, or customer data.
How to Assign or Change a Role
- •Go to Settings → Team Permissions.
- •Find the team member you want to update in the list.
- •Click the Edit button next to their name.
- •Use the Role dropdown to select the appropriate role.
- •Click Save Changes.
The change takes effect immediately. If the team member is currently logged in, their access will update the next time they navigate to a new page or refresh the app.
Adding a New Team Member
- •Go to Settings → Team Permissions.
- •Click Invite Team Member.
- •Enter their name, email address, and select their role.
- •Click Send Invite.
They'll receive an email with a link to create their Lawnager account. Once they accept, they'll have access based on the role you assigned.
Removing a Team Member
- •Go to Settings → Team Permissions.
- •Find the team member and click Edit.
- •Click Remove from Team at the bottom of the panel.
- •Confirm when prompted.
Removing a team member immediately revokes their access. Their past activity (completed jobs, check-ins, photos) remains in your account — it won't be deleted.
Tips & Common Pitfalls
Don't give Manager access by default. Only assign the Manager role to people who genuinely need to create jobs, send quotes, or view reports. When in doubt, start with Crew Member and upgrade if needed.
Crew Members can only use the Field App. If a crew member tries to log into the main Lawnager dashboard, they'll be redirected to the Crew Field App automatically. This is expected behavior — not a bug.
You can't change the Owner role. The Owner role is tied to the account holder. If you need to transfer ownership of your Lawnager account, contact Lawnager support.
Invites expire after 7 days. If a team member hasn't accepted their invite, go back to Settings → Team Permissions, find their pending invite, and click Resend Invite.
Check your plan limits. The number of team members you can add depends on your Lawnager plan. Starter plans have a seat limit. If you're hitting the cap, you'll see a prompt to upgrade. Go to Settings → Billing to review your current plan.
