Auto-Invoicing: How Lawnager Automatically Bills Customers When a Job Is Completed

Learn how Lawnager's auto-invoice feature works, how to enable it, and what happens when a job is marked complete.

When a job is marked complete in Lawnager, the platform can automatically generate and send an invoice to your customer — no manual steps required. This guide explains how auto-invoicing works and how to make sure it's set up correctly for your business.

How Auto-Invoicing Works

Auto-invoicing is triggered the moment a job's status changes to Complete. At that point, Lawnager:

  • Generates an invoice based on the services and materials attached to the job
  • Applies any deposit already collected against the total
  • Sends the invoice to the customer via email (and SMS, if enabled)
  • Makes the invoice payable through the Customer Portal

This means your customers get billed immediately after the work is done — and you don't have to remember to send anything.

Where to Enable Auto-Invoicing

Auto-invoicing is controlled at the account level.

  1. Go to Settings → Payments
  2. Scroll to the Invoicing section
  3. Toggle Auto-generate invoice on job completion to on
  4. Choose whether to also auto-send the invoice to the customer, or only generate it for your review first
  5. Click Save Changes

Tip: If you want to review invoices before they go out — for example, to add notes or adjust line items — choose Generate only. The invoice will appear under Invoices with a Draft status, and you can send it manually when ready.

What Gets Included on the Invoice

Lawnager pulls the invoice details directly from the job record:

  • Services listed on the job (name, description, and price)
  • Materials added during the job or in the quote
  • Any deposit previously collected, shown as a credit
  • Your business branding (logo, colors) from Settings → Branding
  • Applicable taxes based on your configuration in Settings → Payments

Make sure your services and materials are priced correctly in Settings → Services Catalog before completing jobs, since that's where invoice line items pull from.

Marking a Job Complete

Auto-invoicing is triggered when a job reaches Complete status. This can happen two ways:

From the Jobs page (office view):

  1. Open the job
  2. Click Mark Complete in the job status bar
  3. Confirm the prompt — the invoice generates immediately

From the Crew Field App:

  1. The crew member checks out of the job
  2. A manager or admin changes the job status to Complete in the back office, which triggers the invoice

Note: Crew members using the field app cannot trigger auto-invoicing directly. A status change to Complete by an admin or manager is what fires the invoice.

Payment Reminders

Once an invoice is sent, Lawnager can automatically follow up with customers who haven't paid.

  1. Go to Settings → Notifications
  2. Under Invoice Reminders, set your preferred reminder schedule (e.g., 3 days after sending, 7 days overdue)
  3. Toggle reminders on and click Save

Reminders are sent via email and appear in the customer's Client Portal as a notification.

Common Pitfalls

  • Invoice sends with $0 or wrong amount: Check that the job has services attached with correct pricing. If services were added without prices, the invoice will reflect that.
  • Customer didn't receive the invoice: Verify the customer's email address is correct on their profile under Customers. You can also resend the invoice manually from Invoices → [Invoice] → Resend.
  • Deposit not showing as a credit: Deposits only appear on the invoice if they were collected through Lawnager's quote deposit flow. Cash deposits collected outside Lawnager won't be reflected automatically.
  • Invoice generated in test mode: If you have Test Mode enabled under Settings → Notifications, invoices won't actually send to customers. Disable test mode when you're ready to go live.

Manually Creating an Invoice

Auto-invoicing covers most situations, but you can always create an invoice manually from the Invoices page by clicking + New Invoice and selecting the customer and job details.
