Smart Scheduling: Using the Calendar and Drag-and-Drop Tools
Lawnager's Calendar gives you a bird's-eye view of everything happening across your business — who's working, what jobs are scheduled, and where your crew needs to be. Combined with Smart Schedule, you can stop manually juggling appointments and let Lawnager help you build efficient, route-optimized days.
Where to Find the Calendar
From the left navigation menu, click Dashboard. The Calendar is displayed directly on your dashboard alongside your KPIs. You can view scheduled jobs by day or by week.
Scheduling a New Job from the Calendar
- •Navigate to Dashboard and locate the Calendar.
- •Click on any open time slot on the date you want to schedule.
- •A New Job panel will appear. Fill in the customer, service type, assigned crew, and estimated duration.
- •Click Save Job to add it to the calendar.
Tip: You can also create jobs from the Jobs page and they will automatically appear on the calendar once a date and crew member are assigned.
Moving Jobs with Drag-and-Drop
Plans change — and the calendar makes it easy to adapt.
- •Find the job tile you want to reschedule on the Calendar.
- •Click and hold the job tile.
- •Drag it to a new date or time slot.
- •Release to drop it in place. The job's scheduled time updates automatically.
The assigned crew member will receive an updated notification if job notifications are enabled. You can confirm your notification settings under Settings → Notifications.
Common pitfall: If a crew member is already assigned to another job in the same time slot, the calendar will flag the conflict with a warning indicator. Resolve conflicts before finalizing the schedule.
Using Smart Schedule for Route Optimization
Smart Schedule takes your daily jobs and automatically sequences them to minimize drive time between stops.
- •From the Dashboard, click the Smart Schedule button above the calendar.
- •Select the date you want to optimize.
- •Choose which crew member or team to optimize for.
- •Click Generate Schedule. Lawnager will reorder the day's jobs based on location.
- •Review the suggested order. If it looks good, click Apply Schedule to update the calendar.
Tip: Smart Schedule works best when your jobs already have verified customer addresses. Double-check that customer profiles are complete before running optimization.
Assigning and Reassigning Crew from the Calendar
- •Click any scheduled job tile to open the Job Details panel.
- •Under Assigned Crew, click the crew member's name to open a dropdown.
- •Select a different team member to reassign the job.
- •Click Save to confirm.
Reassigned crew members will be updated in the Crew Field App automatically.
Understanding Job Status Colors
The calendar uses color-coded tiles to show job status at a glance:
- •Gray — Scheduled (not yet started)
- •Blue — In Progress (crew has checked in)
- •Green — Completed
- •Red — Flagged or has an issue
This makes it easy to monitor your day in real time without digging into individual job records.
Tips for Keeping Your Calendar Clean
- •Set accurate job durations when creating jobs — this prevents overlap and makes drag-and-drop rescheduling more predictable.
- •Run Smart Schedule at the start of each week to batch-optimize multiple days at once.
- •Use the day view when you need a detailed look at one crew member's schedule, and the week view for big-picture planning.
- •Jobs that have been invoiced or completed are locked and cannot be dragged to a new date. Archive or close out old jobs regularly to keep the calendar uncluttered.
